Privacy Policy

Who this is about

Geek9 IT Solutions Ltd. is an IT consultancy incorporated in Alberta, Canada, serving businesses in Strathmore, Okotoks, Chestermere and Airdrie. It is a one-person business: the person who answers your email is the person who handles your information.

This policy covers geek9.ca and the email we send. It is written to meet Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), Alberta's Personal Information Protection Act (PIPA), and Canada's Anti-Spam Legislation (CASL).

What we collect, and only when you give it

If you use the contact form: your name, email address, company name, the service you selected, and your message.

If you download the IT audit checklist: your email address. If you choose to answer the follow-up questions, also your name, company, rough company size, and the problem you are trying to solve. Those questions are optional and the download does not depend on them.

If you use the free email or website checkers: the domain or address you type in. You are only asked for an email address if you want the written follow-up, and the report is shown in full either way.

Technical records: our web server keeps ordinary access logs. When a download link is used we record the IP address that used it, so a single-use link cannot be shared indefinitely. IP addresses are also held briefly in memory to rate-limit the free tools, and are not written to disk for that purpose.

What we do not do

• No analytics. There is no Google Analytics, no Meta pixel, no Hotjar, and no marketing tracker on this website. We cannot see which pages you visited.
• No advertising cookies. The only thing stored in your browser is whether you chose the light or dark theme.
• Nothing is sold or shared for anyone else's marketing, ever.
• No purchased lists. We do not buy contact data, and we do not use email-guessing services.

Who else can see it

Email we send is delivered through Mailgun, which necessarily handles the address we send to. Our website loads fonts from Google Fonts, which means Google receives your IP address when a page loads, as it would on most websites. Everything else — the website, the database, the mail server and the tools — runs on infrastructure we operate ourselves. No third-party CRM or marketing platform holds your details outside that.

Marketing email, and how we decided we could contact you

If you receive email from us that you did not ask for, it is because your business address was conspicuously published — usually on your own website or a chamber of commerce directory — without a statement that you did not want unsolicited messages, and because what we wrote related to your role. That is implied consent under CASL section 10(9)(b).

We record, for each contact, the page the address was published on, so that basis can be shown rather than asserted. Every message carries an unsubscribe link and our mailing address. One click and you will not hear from us again.

How long it is kept

Enquiries and contact details are kept while there is a live business relationship or an active conversation, and removed on request at any time. Download links expire 30 days after they are issued. Server logs rotate on the ordinary schedule and are not retained long-term.

Keeping it safe

The website is served over HTTPS. The systems holding this information are ours, are patched, and are reachable only by the owner. No system is perfect, and we would not claim otherwise — but your details are not scattered across a dozen SaaS platforms, which is the honest security advantage of a small operation.

Your rights

Under PIPEDA and Alberta's PIPA you may ask what personal information we hold about you, ask for it to be corrected, ask for it to be deleted, and withdraw consent to be contacted. Email info@geek9.ca and it will be actioned; there is no form and no process to navigate.

If you are not satisfied with how we handled it, you may complain to the Office of the Privacy Commissioner of Canada, or to the Office of the Information and Privacy Commissioner of Alberta.

Changes

If what we collect changes, this page changes with it and the date at the top is updated. We will not quietly broaden what we do with your information.
